When Emily Kraft became Property Manager at Go Gopher Rentals a few years ago, she helped the team modernize their processes.

They switched from using paper checks, leases, and physical mail to managing the leasing process through AppFolio and Calendly. It was a big upgrade. And the team saw firsthand how the power of technology could change how they do business.

But when their College Pads account manager suggested they try ShowMojo, the Go Gopher Rentals team hesitated.

The busy season had almost arrived. They didn’t have time for anything new, Kraft explained.

The College Pads rep insisted they consider it. And the idea of automating administrative work did intrigue Kraft and her team. Plus, it helped that ShowMojo has a native College Pads Integration.

So the Go Gopher team took the call.

Go Gopher Rentals Graduates from Manual Scheduling

While Calendly and AppFolio helped, Go Gopher Rentals’ other Property Manager, David Kraskey, still had to spend a lot of time on email.

Leads arrived from listing sites, requested a showing, and booked via Calendly. Kraskey then exchanged (at least) a few emails and assigned an agent to the showing.

If the lead didn’t request a specific unit, but just asked for a unit type (e.g. four-bedroom house), Kraskey had to go back and see what was available.

Since Kraskey is often scheduling (at least) 20 to 25 showings per day, he was spending 1.5 to 2 hours per day manning his email inbox, just to coordinate showings.

Up and Running in Time for the Busy Season

When the Go Gopher team saw how ShowMojo eliminates manual showing coordination, they were sold.

On one condition:

Go Gopher does most of its leasing from September to December. And since they learned about ShowMojo in August, timing was critical. If the ShowMojo team could squeeze them in, they were on board.

So the ShowMojo team got to work. And thanks to Kraskey and Kraft’s hands-on approach to onboarding, they were up and running with time to spare.

Go Gopher Simplifies Communications

From screening and scheduling to coordination and follow-up, Go Gopher Rentals saw a huge impact on communications with ShowMojo.

“The inbox is now strictly for things that matter versus being filled with just back and forth on showing questions,” Kraft said.

Whether the lead comes in from Trulia, Zillow, or anywhere else, Kraskey doesn’t have to coordinate every detail of the showing schedule manually.

Kraskey added, “Not having to send notice every morning [to current tenants] when there’s a showing has been a huge time-saver. We also like the automatic reminders and cancellation notifications.”

Kraskey estimated that ShowMojo’s Showing Notifications for Current Tenants save him 2.5 to 3.75 hours per week. And Prospect-driven Scheduling saves him another 7.5 to 10 hours per week on coordinating showings.

But Kraskey isn’t the only one saving time.

The showing agents at Go Gopher Rentals no longer have to wait around for no-shows to their showings because they receive real-time updates in The ShowMojo App.

Accelerate Pricing Decisions

Since Go Gopher consolidated its leasing data in ShowMojo, Kraft explained that Kraskey can now make faster pricing decisions.

“He has been able to analyze that [listing] data, which is super awesome. Because if we have a townhouse, there’s a bunch of units, they’re virtually all the same. If we lower one of them and that’s the one getting all the hits, well, maybe we need to change the price on all of them,” she said.

Before, data was siloed in multiple systems. Now, everything’s available and easy to access in ShowMojo’s Listing Performance Report.

Eliminate Manual Data Entry in AppFolio

Go Gopher uses AppFolio, which has a feature called Guest Cards that are important for tracking prospect information. Before ShowMojo, Kraskey and his team had to manually add each prospect’s name, email, and phone number to create a Guest Card.

But now, thanks to ShowMojo’s AppFolio Integration, when a lead is generated in ShowMojo, its data is pushed to AppFolio as a Guest Card.

Data goes the other way too. For instance, rent changes and listings going off-market in AppFolio trigger marketing workflows in ShowMojo.

Enhance their Website with a Listing Gallery

Go Gopher Rentals wanted a map that displayed their listings based on the neighborhood. But until they found ShowMojo, building this map was cost-prohibitive.

Now, the Go Gopher Rentals Website has 3 separate pages of listings that correspond with the neighborhoods their prospects tend to prefer — a big upgrade from their old listing feed that required manual filters.

All it took was a short conversation with Go Gopher’s web developer who used ShowMojo’s iframe Integration to create maps on each page filtered by location.

Improve Follow-Up with Prospects

Most days, the Go Gopher team is too busy doing showings to follow up with prospects who showed interest but didn’t submit an application.

“We try to reach out, but sometimes you don’t hear from them and we’re doing like 20 to 25 showings a day, or more, so it’s hard to go back,” Kraskey said.

Kraft agreed, “Unless we took notes and made sure to follow up, it would just go. They would be a lost lead for sure.”

But since implementing ShowMojo, she continued, “We’ve had a few people come back from the follow-up that says ‘This unit is no longer available, you may like this one,’ or when there’s a price drop and they get an automatic notification.”

In ShowMojo, those notifications are part of the Dynamic Prospect Nurturing system. As Kraft explained, this system automatically emails prospects about rent reductions and off-market listings. But it also pings prospects with new listing announcements that are relevant to them.

In a span of two months, ShowMojo notified 527 of Go Gophers’ prospects about new onmarket listings and 78 about rent reductions. Plus, ShowMojo auto-canceled 95 showings for listings that went off-market via an email that displays Go Gophers’ similar listings.

All that without Kraskey having to lift a finger.

Upgrade the Prospective Tenant Experience

As much as Go Gopher has used ShowMojo to improve their backend processes, Kraft said it has also made the leasing process much simpler for prospective tenants.

It’s easy to book showings, easy to ask questions within ShowMojo, easy to make changes, cancel, etc. We like that leads get a follow-up if we miss their call. 99% of the people who leave a voicemail have already booked a showing before we call them back.
